These terms are written to be plain and honest about what the software does. They are not legal advice, and they should be reviewed by a qualified adviser before being relied on commercially or by an institution.
What Case Vault is
Case Vault is record-keeping and research software for clinicians. It stores what you enter, performs the calculations you ask of it, and gives your data back to you in standard formats.
It is not a medical device, and it is not certified as one. It does not diagnose, interpret images, triage, or recommend treatment. Measurement tools compute geometry from points that you place, on a scale that you calibrate; the resulting numbers are only as correct as those inputs. Every clinical decision, and the accuracy of every record, remains yours.
Who may use it
Accounts are intended for qualified clinicians, trainees and researchers. You must be entitled, under the rules of your institution and jurisdiction, to hold the data you enter — and you are responsible for having whatever consent or approval that requires, including ethics approval where a study needs it.
Keep your credentials to yourself. Activity under your account is treated as yours, and a shared login makes an audit log meaningless.
Your data is yours
You keep ownership of everything you enter. We claim no rights over your clinical records, your images, or your research data, and we will not use them to train models or build products.
We need a limited technical permission to store, transmit and display that data in order to operate the service for you — nothing beyond that.
Acceptable use
- Do not upload data you have no right to hold.
- Do not attempt to reach records belonging to other clinicians or institutions.
- Do not probe, overload or interfere with the service or its infrastructure.
- Do not present the software as certified, validated, or a medical device.
Subscriptions
The free plan is limited to a set number of cases. Premium is billed monthly through Razorpay or Stripe and can be cancelled at any time; access continues to the end of the paid period.
If a subscription ends, your data is not deleted. Every record stays readable and exportable — you lose the ability to add cases beyond the free limit and to use the Premium tools, not the work you have already done.
Some capabilities, including the DICOM imaging workstation, are licensed separately from Premium and are enabled per account.
Availability
We aim to keep the service running and the data safe, but it is provided as it is, without a guarantee of uninterrupted availability. Maintenance, infrastructure faults and third-party outages can interrupt access.
Keep your own exports of anything you cannot afford to lose. That is prudent for any hosted system, and the export tools exist precisely so you can.
Liability
To the extent the law allows, we are not liable for clinical decisions, for loss arising from inaccurate data entry or measurement, or for indirect or consequential loss. Where liability cannot be excluded, it is limited to the amount you paid for the service in the twelve months before the claim.
Nothing here limits liability for death or personal injury caused by negligence, or for fraud.
Ending an account
You can stop using Case Vault at any time and delete your account from within the application. We may suspend an account that breaches these terms or puts other users' data at risk, and will explain why where we lawfully can.
Changes
These terms may change as the product does. Material changes will be announced in the application, and the date at the top of this page will move.
